What We Do?
VEX Engineering Notebook Track & Protect helps VEX Robotics teams create secure, trackable links for their engineering notebooks to prevent unauthorized access during competitions.
Information We Collect
When You Register
We collect:
- First and Last Name: To identify your account
- Email Address: To verify you're a real person and for visitor contact
- Team Number: For your reference and visitor contact (not verified by us)
- Phone Number (optional): For visitor contact in case of technical issues
When Someone Visits Your Protected Links
We automatically collect:
- Device Information: Device type, operating system, browser
- Mobile App Fingerprint: Technical identifiers to maintain secure sessions
- Session Information: To track individual visits and prevent unauthorized access
- Access Time and Date: When the link was accessed
How We Use Your Information
Your Registration Information
- Name & Team Number: Only to identify your account and display as contact information if visitors have technical issues accessing your notebook
- Email: To verify your identity and displayed to visitors for technical support contact
- Phone Number: Displayed to visitors so they can contact you if there are technical problems accessing your notebook (only if you provided it)
- Team Number: For your reference and shown to visitors for contact purposes (not verified by us)
Visitor Tracking Information
- Device/Session Data: To ensure the same person is accessing your notebook throughout their session
- Access Logs: To create evidence reports for competition judges if unauthorized access occurs
What We Don't Do
- ❌ We don't sell your information to anyone
- ❌ We don't use your data for advertising
- ❌ We don't share your information except as described below
- ❌ We don't track you outside of our app
When We Share Information
We only share information in these situations:
- With You: Access logs and visitor information for your own protected links
- For Safety: If required by law or to prevent fraud
- Service Providers: Technical services that help run our app (they can't use your data for other purposes)
Your Rights
- View Your Data: You can see what information we have about you
- Delete Your Account: Contact us to delete your account and data
- Update Information: Change your registration details anytime in the app
Data Security
- All data is encrypted and stored securely
- Your notebook URLs are encrypted and cannot be reverse-engineered, even by our database administrators
- We use industry-standard security measures
- Session data is automatically deleted after sessions end
- All access logs and notebook URL records are automatically deleted:
- 15 days after your specified link expiration date (if you set an expiration date)
- 30 days after registration date (if no expiration date was set)
- No permanent storage of your actual notebook URLs
Children's Privacy
This app is designed for VEX Robotics participants. If you're under 13, please have a parent or guardian review this policy with you.
Changes to This Policy
We'll notify you of any changes by updating the date at the top and posting the new policy in the app.
